Cover Letter Structure
Complete Guide 2026
Everything you need to know to structure a cover letter that convinces recruiters.
The 5-part structure
The header
Your contact details (name, email, phone, city) + company contact details + date + subject line. The subject line must be precise: "Application for the role of [title] — Ref. [number if available]".
The opening — Paragraph 1
Grab attention from the very first sentence. Clearly express your interest in the role and show you know the company. Avoid clichéd openers like "I am writing to express my interest in the above position".
Your added value — Paragraph 2
Describe your most relevant experience for the role with concrete, quantified results. Answer the recruiter's unspoken question: "Why you over anyone else?"
Your motivation — Paragraph 3
Explain why THIS company appeals to you. Cite something specific (a project, a value, the culture, the mission). Show that you have done thorough research.
The closing and signature
Proactively and directly propose an interview. End with a professional closing suited to the sector. Sign with your full name.
Structure mistakes to avoid
❌ Repeating your CV
Your cover letter should not repeat your CV. It should complement it by explaining your motivation and putting your most relevant experiences in context.
❌ Generic openers
Avoid openers like "I am writing to apply for..." — they are read hundreds of times and make no impression. Try: "Passionate about...", "Currently working as...", "Your listing for the role of..."
❌ Too long
One page maximum, ideally 300–400 words. Beyond that, you lose the recruiter's attention. Every sentence must add value.
❌ Generic phrases
Avoid: "I am highly motivated", "dynamic company", "join your team". These phrases are read hundreds of times and no longer impress anyone.
Frequently asked questions
How many paragraphs should a cover letter have?
3 to 4 body paragraphs, plus the header and closing. Classic structure: Introduction / Your value / Your motivation / Conclusion.
Should I write a different letter for every application?
Yes. At a minimum, personalise the opening and motivation paragraphs. Ideally, rewrite your letter entirely for each key application.
Do recruiters still read cover letters?
Yes, especially for roles with a limited number of applicants. They are often decisive for applications from recent graduates or career changers.
How should I end a cover letter?
Proactively propose an interview: "I am available for an interview at your convenience." Then close with a professional sign-off such as "Yours sincerely" or "Kind regards".
